What we do with your information.

This notice explains what personal information VSI Accountants collects through this website, why we need it, who else sees it, and what you can ask us to do with it.

Who is responsible for your information

VSI Accountants (Pty) Ltd is the responsible party for the personal information collected through this website, as that term is used in the Protection of Personal Information Act 4 of 2013 (POPIA).

What we collect, and when

We only collect personal information through this website when you choose to send it to us using the contact form. We do not require you to register, and there is no account to create.

When you complete the contact form we collect:

  • Your name — so we know who we are replying to
  • Your email address — so we can reply to you
  • Your phone number — optional, and only if you would rather we called
  • The service you are enquiring about — so your enquiry reaches the right person
  • Your message — whatever you choose to tell us

Please do not send us tax numbers, identity numbers, banking details or financial records through the website contact form. It is a general enquiry form, not a secure document channel. Once we are in contact we will tell you how to send sensitive documents safely.

Why we need it

We process the information you send us for one purpose: to respond to your enquiry and, if you decide to work with us, to take the steps needed before entering into an agreement with you.

Under POPIA we rely on your consent, which you give by choosing to submit the form, and on the fact that processing is necessary to take steps at your request before concluding a contract.

We do not sell your information. We do not share it with third parties for marketing. We will not add you to a mailing list because you sent us an enquiry — our newsletters are published openly on this website and require no sign-up.

Who else sees it

Two service providers are involved in a website enquiry reaching us:

  • Our form handler. The contact form is processed by a third-party form service, which receives your submission and forwards it to our mailbox. It holds a copy on its own systems.
  • Our email provider. Your enquiry arrives in and remains in our business mailbox.

Both are bound to process the information only for the purpose of delivering the message to us.

Information sent outside South Africa

Our form handler and email provider operate servers outside South Africa, which means your enquiry is transferred across the border. POPIA permits this where the receiving country or the recipient provides an adequate level of protection comparable to POPIA, or where you consent to the transfer. By submitting the form you consent to this transfer.

Fonts

This website loads its typefaces from Google Fonts. This means your browser contacts Google's servers when a page loads, and your IP address is visible to Google as part of that request. We do not control this and receive no information from it.

What we do not do

  • We use no advertising trackers, no analytics and no third-party cookies on this website
  • We do not build a profile of you or make automated decisions about you
  • We do not share your enquiry with anyone outside the firm except the providers described above

How long we keep it

If you enquire and do not become a client, we keep your enquiry for no longer than 12 months, then delete it.

If you become a client, your information moves out of the website enquiry process and into our client records. Those are kept for as long as we are required to keep them under the legislation that applies to accounting and tax records, and for as long as needed to defend a legal claim. We will tell you what applies to you when we take you on.

Keeping it safe

We take reasonable technical and organisational steps to protect the information you send us against loss, unauthorised access and misuse. The website is served over an encrypted connection, and access to our mailbox is restricted to the people in the firm who need it.

If a security compromise occurs that affects your personal information, we will notify you and the Information Regulator as POPIA requires.

Your rights

Under POPIA you may, at any time and free of charge:

  • Ask what we hold about you, and receive a copy of it
  • Ask us to correct or complete anything that is wrong or out of date
  • Ask us to delete information we no longer have grounds to keep
  • Withdraw your consent to us processing your enquiry, at which point we will stop and delete it, unless we are legally required to keep it
  • Object to processing on reasonable grounds

To exercise any of these, email admin@vsiaccountants.co.za. We will respond within a reasonable period, and we may need to confirm your identity first so that we do not disclose your information to someone else.

Complaints

If you believe we have handled your personal information improperly, tell us first — most problems are quicker to fix directly. If you are not satisfied with our response, you may complain to the Information Regulator of South Africa.

Changes to this notice

If we change how we handle personal information, we will update this page and change the date below. Material changes will be brought to your attention where we are able to contact you.
